IAWA Board of Advisors Executive Meeting

August 26, 2003

Present: Terry Clements, Donna Dunay, Kay Edge, Jennifer Gunter, Marcia Feuerstein, and Mitzi Vernon.

Absent: Eileen Hitchingham, Paul Knox, and Frank Weiner.

Guests: Milka Bliznakov and Jami Ryan.

Call to Order

Chair Marcia Feuerstein called the meeting to order at 4:05 PM.

Chair Feuerstein asked for a motion to approve the agenda (attached with these minutes). Professor Clements so moved and Professor Edge seconded. The motion was approved unanimously.

Report on the Election

Professor Vernon reported that all candidates on the ballot were elected to the Board. Chair called for a motion to accept the report on the Elections. Prof Dunay so moved and Chair Feuerstein seconded.

Chair Feuerstein introduced the IAWA's new assistant, Jami Ryan. She is a Master of Architecture student in the three -year program. She is in her 2nd year. She has a Bachelor of Architecture from Fairmont State University in West Virginia.

Annual Meeting

Chair Feuerstein handed out a draft of agenda items and itineraries for the Annual Meeting, which we discussed and refined. Yasmeen Lari will be arriving on the 10th and will be available all day on the 11th for seminars. She is involved in preservation activities in Pakistan and is one of the most prominent architects there. Her visit is partially sponsored by the Women and Minorities Lecture Series. Lari will give her lecture at 5:00 PM followed by a reception in the Cowgill lobby.

The symposium occurs Friday throughout the day. Chair Feuerstein discussed suggestions for topics for the sessions including concepts for archiving and also a session for the practicing Board members.

The working meeting will be held at Professor Bliznakov's house on Saturday morning from 10:00 until 1:00 followed by lunch. There was a discussion about what events might comprise the Saturday evening reception or dinner. Several Advisors noted that it was important to get news out about the Annual Meeting. Professor Dunay suggested that we each make personal invitations. After more discussion, the group decided to move the Special Collections reception to Saturday evening 6:30-8:00 PM.

Report on the Budget:

Chair Feuerstein discussed notes from a meeting with Professor Dunay to outline the current IAWA budget. The Budget Report is a work in progress details and lists typical annual expenses and gifts. Professor Gunter noted that she would have a detailed budget of IAWA expenditures (from the library) for the Annual Meeting. Professor Clements noted a few categories that needed to be added to the Budget Report. Gifts this year included $500 each from the Dean, the Department Head, and the Provost. The Budget Report, however, is being prepared to clarify what a typical year entails. Professor Gunter suggested that there should be a meeting with development officers. The letter of transmittal that comes with the donation should have clear indication of what is being given and what the intentions are of the donor for the gift. There is no clear way that money comes into the IAWA accounts. The committee agreed that we should arrange a meeting with development people before the annual meeting.

Archivist Report

Jennifer Gunter was contacted by a potential donor this summer–the Executor of the estate of Eleanor Petterson. Professor Gunter expressed her concern about needing staff assistance. She worked with an attorney in the development office on campus and traveled to New Jersey to meet with the Executor. Petterson attended college in NYC. At the settlement of the estate, the donation to the Archive could be considerable as a monetary donation as well. If this does not happen, the estate will cover all expenses for managing and transporting the archive. Jennifer made an eloquent plea for the IAWA to come to terms with its position on taking care of the archives. Without change (assistance and budget) to manage the growing collections, we are doing a disservice to the donors and women architects in general. Dean Hitchingham has allocated 50% of the Manuscript Archivist position to the IAWA. Chair Feuerstein praised Professor Gunter on her steadfast and focused work.

Newsletter Report

The Newslettrer is at the printers now and will be ready for the Annual Meeting.

Chair Feuerstein called for a motion for adjournment. Professor Vernon so moved and Professor Dunay seconded the motion. The meeting was adjourned at 5:15.
