Elsie Weatherington led the introductions of Bradley Daigle, the new EAD supervisor at UVA.

Discussion Items

VHP Organizational Structure

Elsie Weatherington shared a letter from Kathy Perry concerning the proposed re-constitution of the Special Collections Committee (SCC). The VIVA Steering Committee decided not to authorize the re-establishment of the SCC. The Steering Committee recognized the commitment required to participate in the VHP project and wishes to see the VHP Task Force focus its efforts on the grant project. It does not preclude the possibility of other projects coming forward in the future under the auspices of VIVA.

Discussion ensued about the importance of the VHP project. Concerns were shared about whether or not there was complete understanding of the scope of the VHP project. Comments were made and suggestions offered about how to publicize the efforts of the VHP. It was agreed that the executive committee of the VHP would look for opportunities to demo the project at ALA, ACRL, VIVA, and SAA in 2001.

Proposal for the Virginia Foundation for the Humanities

Elsie Weatherington and Susan Riggs informed the group that at this time, William and Mary did not feel it could sponsor the project. The College has other initiatives, which it must address for the immediate future. Brief discussion ensued over which universities might wish to take up the project in the future.

VHP Implementation

Jodie Koste and Bradley Daigle reported on the VHP implementation timeline. A workshop is scheduled for September 21 and 22 at UVA. It will be a two full days of training. A tentative schedule for the workshop was distributed and agreed upon. The participants are limited primarily to first round libraries. Space as available may be opened to others. Reimbursements for overnight stays and refreshments have been budgeted. The goal is to have everything operational by October 1. Ed and Bradley will visit universities in November. Participants are encouraged to get a good handle on the subject content. For the workshop, they would like to see what is in electronic form or easily scanned. Participants were asked to test the template by inputting some documents. Comments on the template should be forwarded for use during the workshop. During the workshop, talk will focus on the process for the project. It was also agreed that a common document would be marked up by the participants as a refresher to EAD. It is expected that second year participants attend the next general meeting and begin to practice marking up documents.

Daniel Pitti will be on the schedule for the morning session of the first day of the workshop. A suggestion was made to have Daniel give his thoughts on the hot topics/products of EAD. A lengthy discussion ensued on the importance of using controlled vocabulary for subject descriptors and names. It was agreed to bring up the subject of authority control to Daniel Pitti at the workshop.
