VIRGINIA HERITAGE PROJECT EXECUTIVE COMMITTEE MEETING

The VHP Executive Committee met yesterday (10/25/00) from 10-12 at Tompkins-McCaw Library at VCU. We discussed the timeline for Oct-Dec. 2000. During this quarter, we hope to have the data entry forms and the public interface moved to the production server at UVa--at present, they are running on a test server. Edward will talk to the UVa programmers and try to get a firm date from them. He will post the new timeline on the VHP website, along with monthly calendars of events. By mid-November, Bradley will have scheduled site visits with all the first year participants.

The group discussed making presentations about VHP at various conferences over the next two years. Jodi has submitted a proposal for next year's SAA meeting and the other conferences we will be considering include the following: VLA, ALA, ACRL, VAM, SELA, Southern Historical Assoc.

The group also agreed to contact other consortial projects to see if they could offer any advice. Edward will assign each Exec. Committee member a project or projects to contact. Jodi and Gerri will come up with a list of questions that we want to ask each project.

The group spent a long time discussing the pros and cons of using controlled vocabulary terms in the <controlaccess> field. After much to-ing and fro-ing, the committee decided that institutions that want to use controlled vocabulary in this field may do so. UVa will not be using controlled vocabulary and will not be able to encode this information in guides sent by other institutions.

At 1:00, the group reassembled with the VHP first year participants. Bradley reviewed the tracking database and the data entry forms. He showed the group the statistics spreadsheet that he has developed and reminded participants that it is important to use the tracking database to record published guides; if guides aren't noted as being published in the tracking database, they won't show up on the monthly stats he'll be posting to the website. He then gave a presentation on the use of Notetab for encoding the <dsc> section of guides and distributed the software to the first year participants.
