VIRGINIA HERITAGE PROJECT EXECUTIVE COMMITTEE MEETING

Present: Edward Gaynor, Bradley Daigle, Lucious Edwards, Eric Ackerman and Jodi Koste (recorder). Susan Riggs was not able to attend because she was involved in the move of William and Mary Special Collections.

The group welcomed Eric Ackerman back to the project. He will be representing Virginia Tech on the Executive Committee. Gerri Schaad has left Virginia Tech to return to Texas.

Edward reported on the public interface for the Union Database. The programs are currently perfecting the search engine for the database. Edward will ask when a prototype will be ready for us to test.

There continues to be parsing problems for large files. Extremely large files might need to be sent to UVA for parsing. Bradley is developing a clip for cutting out tags not used in the mark-up of a particular guide. This may make it easier to parse large files. After testing the clip the new version of the clip library will be distributed to all project participants.

William and Mary raised a question about the placement of the box/folder label. The VHP guidelines specify that Box/folder labels appear after the title field. Bradley will investigate the rules for the place of this label when using unnumbered components <c>. He will talk with William and Mary to answer their questions.

Bradley and Edward will update the Retrospective Conversion Guidelines to repair a couple of broken links and to make sure that elements are listed and explained in the order we are using for the project.

For the remainder of January, Edward and Bradley will work on a half-year report. Site visits will be completed.

The Executive Committee will meet February 23rd in Charlottesville to plan for the March meeting of all first year participants. We will begin evaluating the training received by first year recipients. This will be accomplished by a survey form and a discussion at the March 16th VHP meeting/evaluation session. Bradley will develop an evaluation form that will be distributed and returned by first year participants prior to the March 16th meeting.

The next round of training for 2nd year participants has been moved back to August/September.

Bradley will update the timeline on the web. The Executive Committee will focus on evaluation training and planning the training for second year participants over the next couple of months.

We will have an opportunity to talk with the VIVA Steering Committee at their June meeting scheduled to be held at Richard Bland College.
