Present: Lucious Edwards, Joyce Nester, Susan Riggs, Bradley Daigle, and Jodi Koste (recorder)
Technical Update: If any one would like to have standard language put in your institution's template for fields such as preferred citation and access, send the text to Bradley who can customize the form.
The help files have been updated to reflect changes made to templates over the last few months. The Retrospective Conversion Guidelines have also been updated.
A new version of the clip library will be sent out shortly. By checking the version history you can know all the changes that have been made between versions.
There are guides for all institutions except Virginia State University in the database.
Bradley showed us a mock-up for the public interface page. Suggestions were made for the header.
The VIVA Steering Committee meeting will be June 8th at Richmond Bland College. We will ask Elsie Weatherington for details about the meeting.
The group reviewed the search interface page. At present it will not allow us to sort by accession number and institution. Bradley will make changes so we can sort by title of collection, accession number and by institution. Bradley will also talk to the programmers to learn the options for turning off full-text searching in the database.
When guides are sent to UVA for mark-up, the sections 0, 1 and 2 should be completed by the home institution. UVA staff will focus on marking up the dsc. This will keep guides consistent.
Discussed some potential search topics for the VIVA Steering Committee demonstration on June 8th. Possible subjects include: education, integration, church (name and place, will also show hyperlinks to actually documents), Lewis Powell, slavery, R.E. Moten.
Executive Committee members should check out the help pages developed by the American Institute for the History of Physics. Their new search interface is publicly available and includes online help. This may be a prototype for us.
A "find in document" search will only look in the following tags: arrangement, did, org, scope and content, admininfo, biohist, and c01-c12.
The next meeting will be held May 23rd at 11:00 am at Virginia State University. We will practice the presentation for the VIVA Steering Committee Meeting
