INTRODUCTIONS
The meeting began with introductions of new representatives from participating institutions.
VIVA STEERING COMMITTEE UPDATE
Elsie updated the VHPTF on budget priorities set by the VIVA Steering Committee at its retreat. While the long-term organizational structure of the VHPTF was on the list of priorities, it was not among the top four for major budget discussion and funding. Major priorities were centered on collection, more efficient delivery of interlibrary loan and the development and implementation of information literacy programs. There will be another opportunity to discuss the future of the VHPTF.
PROJECT UPDATE AND DEMO OF EAD DATABASE
In June Bradley and Edward gave a demo of the EAD database to the statewide Library Advisory Committee (LAC). The presentation was very thorough and the subsequent questions probed technical aspects of the project and cost analyses. Bradley and Edward will be addressing LAC questions in an organizational report being prepared on the future of the VHPTF. The EAD project is now live and available for use by the general public. The project is on target with the page count and may well finish ahead of the original target. The VHPTF homepage needs to be updated so that fewer clicks are required to reach the EAD database.
TRAINING FOR 2ND YEAR PARTICIPANTS
The training for 2nd year participants will be held September 13-14, 2001 at UVA. The training will be conducted by the1st year participants and the EAD Project Coordinator.
VHP ORGANIZATIONAL PLANNING
The VHPTF is in the second year of the grant. In order to continue the goal of adding guides from all institutions in the commonwealth with special collections and archival material, the present participants need at least another year to mentor and train all remaining coordinators. The VHPTF needs to prepare a document stating specifically what is required in terms of organizational structure and budget requirements to (1) complete the training of all coordinators and (2) to maintain the central database at UVA.
In terms of future projects, any solicitation from the National Endowment for the Humanities (NEH) should build on the present grant project. The membership determined that the most feasible solicitation from the NEH would be for funding for an additional year to complete the training and mentoring of coordinators.
The next Executive Committee meeting will be held at 10:30 on September 21st in Special Collections at Alderman Library, University of Virginia.
