PRESENT: Bradley Daigle, Gail McMillan, Lucious Edwards, Edward Gaynor, Susan Riggs and Jodi Koste (recorder)
Bradley Daigle has accepted a new position in Special Collections at UVa as Head of Special Collections Digital Services effective 10/1. The group discussed what implications this would have on the grant. Edward will check with Human Resources in the library and University to see how quickly the position can be posted. He will let all coordinators know the time-frame for filling the position and we will proceed from there.
We will formally approach NEH about a three-month, no-cost extension.
Bradley will create a template for Wytheville Community College before he moves to his new position.
Edward will send out a notice to the VIVASC-L to inform all participants about Bradley's job change. He will also outline interim plans for covering Bradley's responsibilities so that work on the grant can continue uninterrupted.
Discussed at some length the evaluation component of the grant. We reviewed the plan of work and agreed that Gail, Susan, Jodi and Edward would review Anne Gilliland-Swetland work and plan the phases of the VHP evaluation. Gail has a web survey form available that we can use to gather information. We may also wish to ask some of the larger repositories such as Library of Virginia, VHS and UVa to ask their users for feedback. We will also approach those who initially wrote letters of support for the project to do some evaluation of the VHP. We will also see if we can get feedback from students in the archives program at New York University. Those interested in the evaluation work undertaken by the Online Archive of California and Anne Gilliland-Swetland should review the web site at: http://skipper.gseis.ucla.edu/faculty/swetland/HTML/oacep/oachome.htm
Edward has learned from UVa MIS that the stats package is installed on the VIVA VHP server, but it is still unstable. UVa MIS doesn't know when it will be stabilized, but they're working on it.
The group agreed to submit another proposal to SAA. There was interest in developing a session on Teaching/Learning EAD. In addition to discussing our training model, we thought we could find speakers to address teaching EAD within an archival studies program as well as one of the instructors from SAA EAD workshop. The proposal is due on October 6th.
A proposal has been submitted for the annual meeting of the Southern Historical Association Meeting to be held in Baltimore. We will also consider having a session or demonstration at VLA in 2002.
Susan will contact the Virginia Historical Society to see if they would be interested in having a demonstration of the Virginia Heritage database in their summer program for secondary school history teachers.
The group spent some time talking about communication among our group and the larger Virginia Heritage Task Force. We agreed to call the group that meets monthly to administer the grant, the VHP NEH grant coordinators.
Edward, Jodi and Susan will work on a draft of the proposal for the VIVA Steering Committee to address the ongoing needs of the Virginia Heritage database.
The coordinators will met next on October 8th at Virginia State University.
