INTRODUCTIONS
The meeting began with introductions of new representatives from participating institutions.
VIVA STEERING COMMITTEE UPDATE
Elsie updated the VHPTF on the action items from the June VIVA Steering Committee Meeting. The Steering Committee funded continuation of the Virginia Heritage Project through 2004 for a position at UVA. Requests for travel and training will be reviewed on an ad hoc basis. The Steering Committee expressed their support for the project. There were positive comments expressed regarding the database and the efforts the VHPTF has put into making this a successful project for VIVA. Elsie read a letter from the Chair of the Steering Committee in which he praised the VHPTF for its work and in a very heartfelt and eloquent manner expressed the appreciation felt by the Steering Committee. Many thanks were given to Jodi and Susan for the excellent presentation and demo made to the Steering Committee.
The Steering Committee expressed a desire to see the VHPTF move forward with building a content database of digital images that link to finding aids. Furthermore the Steering Committee expressed interest in having the committee promote and market the database resources beyond the library community, in particular to K-12 and college and university users. The Committee encouraged the VHPTF to find outside funding sources to pursue digitizing more full text in the collections.
PROJECT UPDATE
The project has more than doubled the number of pages initially expected. The original goal was 17,500 and as of July, members had encoded close to 40,000 pages. Edward thanked everyone highlighting ODU, VCU, VMI, LVA and VSU. Edward also announced that the Colonial Foundation of Williamsburg had joined the project. Elsie reported on a visit by her and Lucious Edwards to Hampton University (HU). They spent the day reviewing their guides and offered assistance in getting some records encoded. Elsie sent a formal letter to the HU Library Director inviting them to join the project.
DISCUSSION
Jennifer Gunter led a discussion to explore how to map EAD guides to MARC records, creating the infrastructure so that all guides in the project database generate MARC records. She suggested that the VHPTF bring the EAD Coordinator, Katherine Wisser, from North Carolina State University to Virginia to conduct a workshop. This idea could be part of a digitization grant proposal or a separate proposal.
Considerable discussion took place surrounding the solicitation of a digitization grant from IMLS. There are many issues from which sprang three committees charged with bringing information to the next full VHPTF meeting. The Committees are:
- Best Practices -- Gail McMillan, Jodi Koste, Bob Vay, and Jay Gaidmore
- Survey of Technology at each institution to support digitizationÑEdward Gaynor, Jodi Koste, and Jennifer Gunter
- Publicity -- Curtis Lyons, Susan Riggs, and Gail Greve
ANNOUNCEMENTS
The Technology Assessment committee presented the results of their research into the technology standards and resources for digitization of material. That information will be placed on the VHP website
PUBLICITY
- Jodi and Susan will attend the Southern Historical Society Conference in Baltimore in November. They will have an exhibit demonstrating and promoting the Virginia Heritage Union Database. This trip is funded in part by VIVA.
- Susan Riggs will demonstrate the Virginia Heritage Union Database at the VLA Conference on October 18, 2002 in Williamsburg.
The next VHPTF and Executive Committee meetings will be held at 10:30 on September 27, 2002 at the University of Virginia.
