Call to Order:
Meeting came to order at 10:45 A.M.
Jamestown Bibliography Project:
Susan Riggs gave her report on the Jamestown Project. She described the Jamestown Collection, which contains documents, artifacts, and photos, and the current conservation efforts. The Jamestown Bibliography, in its current state is approximately 300 pages. A discussion of how best to make it accessible yielded the suggestion to render it both in html and PDF. Also, the need for the Park Service to check it over was discussed.
Website Heuristics and Review:
Edward Gaynor reported thanking all for their help in the assessment. New members in the VHP include the National Sporting Library in Middleburg, VA. Jody and Edward plan to begin training them on EAD in 2004. A web site usability issue, Boolean searching (the lack of ease with which one may use) was discussed. Edward will bring this up with the Web Usability Committee. Edward also noted that there are some small changes (primarily in layout) in EAD 2002, which will be implemented in 2004. Gail McMillan discussed the VHP website and its presence in the VIVA homepage site map. It has been updated to include the newest list of Task Force members. Language was changed to past tense regarding goals and other tasks, etc. already accomplished. Website text was to be edited per institution. Edward suggested that VHP drop the "Project" from its name, since the original objective was already accomplished. What is needed was a new "noun" to complete the title which signifies a completed yet ongoing activity. VHP will still be used in the past tense for historical purposes.
Scanning Survey Report:
Bob Vay mentioned again that only two responses to the follow up to the Scanning Survey Document were received. He will send these to Bradley Daigle at UVa to help formulate the scanning guidelines for grant proposal. Bradley Daigle brought up the issue of the RMDS spec sheet for UVa. He polled the other committee members as to what image database (if any) are they using.
Digitization Standards Document:
Bob Vay and Bradley Daigle were charged with the task of coming up with guidelines for deliverable and archival images for the upcoming grant proposal.
Digitization Grant Process:
John Jaffe and Gail McMillan put out a call for volunteers for the working group for the grant. Susan Riggs volunteered. Bob Vay volunteered to be an "Ex Officio" member due to the new responsibilities he will be undertaking. Discussion continued on the types of grants (NEH, Mellon, IMLS) and which one(s) VHP should consider application for.
