MINUTES

Chair opened the meeting with a discussion about the name of the former Special Collections Committee and the need to update the Special Collections homepage to reflect the Virginia Heritage Project Task Force (VHP). Edward Gaynor volunteered to create a web page and send to everyone for comments. The Chair volunteered to develop an outline for updating/changing the Special Collections homepage. The draft will be posted on the listserv for comments before sending to Gail to make the final change.

There was concern expressed about the continuation of the VHP. The VIVA Steering Committee extended the Ad Hoc Committee until June 2000 with a review of the Committee in March 2000. Because NEH doesn't announce grant awards until spring (April or May), the VHP Task Force members were concerned the Committee would be disbanded before the announcement. The Chair stated that she would ask the VIVA Steering Committee (VIVA SC) to hold its review in June instead of March. The Chair would also update the VIVA SC on the training activities that have taken place since June 1999. The update would include examples of guides, an EAD template, and the completed survey of archives at all public and independent colleges and universities and one community college.

The Chair solicited discussion from the Committee regarding submitting grant proposals to the Mellon Foundation and to IMLS. There was a strong recognition of the enormity of work involved in preparing the previous grant submission to NEH. Most members were more in favor of seeking information regarding grants from foundations in Virginia that might support work of the Virginia Heritage Project Task Force. An example was the Virginia Foundation for the Humanities. Members were asked to search for information on state funding agencies and bring information to the next meeting.

TRAINING

The training session was held in the TompCAT lab in the Tompkins-McCaw Library at VCU. Four institutions, VSU, ODU, LVA and W&M prepared an electronic EAD markup of the Hall Papers from William & Mary. The Committee discussed the records at length. At the conclusion of the session, the Committee decided to mark up another guide for the next meeting.

NEXT MEETING

The next meeting will be held at 10:00 am on December 2 at the Library of Virginia.
