draft

January 23, 1998

Virginia State University, Johnston Memorial Library

Present: Sandy Beecher for Joyce Ogburn (ODU), Kay Domine (W&M), Lucious Edwards (VSU), Edward Gaynor (UVA), Barbara Haase for Paul Koda (GMU), John Kneebone (LVA), Jodi Koste (VCU), Gail McMillan (VT), Elsie Stephens Weatherington (VSU), Chair

Weatherington reported:

Lucious Edwards will represent the comprehensive colleges on the VSCC. A representative from the private institutions has not yet been selected.

VIVA Steering Committee accepted VSCC's "Virginia Heritage Project" proposal. $20,000 must be spent by end of this fiscal year.

VSCC agreed to rename the proposed project the Virginia Heritage Collection Project. When funding ends, we drop "project." The draft proposal needs minor modifications:

Add that grant writer will generate a budget for VIVA consideration. Since granting agencies will not have time to review the VSCC proposal and award a grant by the end of this fiscal year, we will request that VIVA allow us to carry over a few $ for start up funding for planning and to contribute a few month's salary for the beginning of next fiscal year. The total $ for the grant writer will include six month's salary. We would also like to include $ to bring each institution's contact person to planning session(s) in Charlottesville/UVa. The VIVA money will be seed money and matching funds. Our grant proposal will be sent to: Mellon, NEH, LCAmeritech (may be only one more year of funds available).

Delete consultant and word it: grant writer to coordinate project development.

Each doctoral institution will receive an invoice from Gaynor/UVa requesting IAT (InterAgency Transfer) for $4000 to UVa from GMU, VT, ODU, and Wm. & Mary. $20,000 will cover: Advertising for the position and recruitment, salary, job-related travel expenses, taxes, benefits (7.65% social security), supplies.

re Advertising

UMd College Park with joint MLS/MA (History) degrees; other library schools: American U, Catholic U, U. of South Carolina (MLS/MA), Duke Central VA newspapers, including the Daily Progress. We probably can't afford the Richmond Times Dispatch.
listservs: Va History, Archives, EAD, Records Management, local institutions may have ones for graduate students.
We will each send the advertisement to appropriate places.

Even if eventual grant applications are unsuccessful, VSCC will have accomplished an assessment of the state of the special collections materials at the public higher education institutions in Virginia.
