Chair briefed Special Collections Committee (SCC) on the last meeting. Theresa Byrd, Chair of VIVA Steering Committee, attended the February meeting. Theresa gave an update on the VIVA budget. The SCC members discussed the Virginia Heritage Collection Project (VHCP) at length giving Theresa a greater understanding of the scope of the project. Theresa indicated that she thought it was a good project that would add even more depth to our libraries' collections and provide more visibility for VIVA.
The Committee reviewed consultant applications to the Virginia Heritage Collection Project (VHCP). There were four candidates. After careful review the Committee made a decision to pursue the candidacy of Katharina Klemperer. Clarifications were needed from her regarding fee structure, length of time to complete the project, and travel. Both Elsie and Joyce will check references.
Several issues regarding the budget expenditures were discussed. The main concern is that SCC funding must be spent by the end of the fiscal year. The concern is that the Committee and the consultant have enough time to do a thorough job in hiring a consultant and getting the grant written. Various carryover options were debated. The final conclusion was to try to move forward as quickly as possible to hire the grant writer for this fiscal year.
Granting agencies that will be considered included National Endowment for the Humanities (NEH) and LC Ameritech.
In order to assist in the development of the grant, the SCC members have taken on the task of designing and administering a survey to public institutions with Special Collections and Archives. The Committee developed a draft of the survey. Jodi Koste agreed to chair a subcommittee to continue refining the draft survey. The subcommittee will work by email.
